5. Guidelines on the Use of Artificial Intelligence (AI) Tools in Manuscript Preparation

Jengkal – Journal of Society, Art, History, and Culture recognises that Artificial Intelligence (AI) tools, including Large Language Models (LLMs) such as ChatGPT and similar technologies, may assist authors in the preparation of manuscripts. However, the use of AI must follow clear ethical standards to ensure transparency, integrity, and academic accountability. Authors remain fully responsible for the originality, accuracy, and scholarly quality of their work.

a. AI and Authorship

Artificial Intelligence tools cannot be listed as authors or co-authors of a manuscript.

Authorship requires the ability to take intellectual responsibility for the content, ensure the integrity and accuracy of the work, and respond to questions or concerns after publication. Since AI systems cannot assume legal or ethical accountability, they do not meet the criteria for authorship. Only human contributors who meet standard authorship requirements may be credited as authors.

b. AI Use and Disclosure Requirements
Disclosure is Required

Authors must clearly disclose the use of AI tools when such tools have contributed substantially to the creation or modification of the manuscript. Disclosure is required when AI has been used for:

  • Generating or drafting text
  • Rewriting or paraphrasing content
  • Summarizing literature or data
  • Producing translations
  • Creating figures, images, or analytical content
  • Any creative, interpretive, or editorial decision-making

This disclosure should be stated transparently in the Methods section or in a dedicated section such as “Acknowledgements” or “Declaration of AI Assistance,” when a Methods section is not applicable.

Example statement:
“This manuscript was prepared with the assistance of an AI-based language model to support text drafting and language refinement. All intellectual content, interpretation, and final revisions were conducted by the authors.”

Disclosure is Not Required

Disclosure is not necessary when AI tools are used solely for minor technical or linguistic assistance that does not involve content generation. This includes:

  • Correcting grammar, spelling, or punctuation
  • Improving readability or sentence flow
  • Formatting text or references
  • Minor stylistic or language adjustments to human-written content

Such uses are considered equivalent to standard editing tools and do not affect authorship or intellectual contribution.

c. Human Accountability and Responsibility

Authors must maintain full responsibility for the entire content of the manuscript, regardless of any AI assistance.

All listed authors must:

  • Review and approve the final version of the manuscript
  • Ensure the originality and accuracy of all content
  • Verify that no fabricated, plagiarized, or misleading information has been introduced by AI tools
  • Be prepared to take public responsibility for the work and address any post-publication questions or concerns
  • The use of AI does not reduce or transfer ethical responsibility from the authors.

d. Editorial Rights

The editorial team reserves the right to request clarification regarding the use of AI tools during the review or publication process. Manuscripts that fail to disclose significant AI involvement or that violate these guidelines may be subject to revision, rejection, or retraction in accordance with the journal’s publication ethics policies.
